Title
SUBJECT: Award Bid to Merced Chevrolet for the Purchase of Three New Tahoe Police Vehicles (PV) for the Police Department and One New Traverse Sports Utility Vehicle (SUV) for the Fire Department, for a Total Cost Not to Exceed $190,608.06
REPORT IN BRIEF
Considers awarding the bid to Merced Chevrolet for the purchase of three Tahoes as scheduled replacements for the Police Department and one new Traverse SUV as an acquisition for the Fire Department.
RECOMMENDATION
City Council - Adopt a motion:
A. Awarding the bid to Merced Chevrolet for the supply of three new Tahoes and one new Traverse SUV, for a total amount not to exceed $190,608.06; and,
B. Authorizing the City Manager or the Deputy City Manager to execute the necessary documents, the City Buyer to issue the Purchase Order, and approval of change orders not to exceed 10% of the total purchase price.

AUTHORITY
Charter of the City of Merced, Article XI, Section 1111-Competitive bidding, and Merced Municipal Code Chapter 3.04, Article III - the purchase of materials, supplies, equipment, and contractual services of an estimated value greater than thirty-four thousand dollars ($34,000.00), the "contract threshold," shall be made by the purchasing supervisor by written contract with the lowest responsible bidder.
CITY COUNCIL PRIORITIES
As provided for in the FY 21/22 Adopted Budget.
DISCUSSION
Staff prepared bid specifications, and the invitation for bids was advertised both in the Merced County Times newspaper and the City’s website. Bids were publicly opened on March 22, 2022, at 2:00 p.m., with the following result:
• Merced Chevrolet $190,608.06
o Includes a 5 year/100,000 mile warranty (roadside assistance)
o Delivery made in 90 days after order
• Razzari Ford $166,451.91
o Includes a 3 year/36,000 mile warranty (roadside assistance)
o Delivery made 238 days after order
Staff recommends awarding the bid to Merced Chevrolet based on warranty and delivery time, as well as fleet standardization.
IMPACT ON CITY RESOURCES
The vehicles were approved in the FY 2021/22 adopted budget; no additional funding is needed. The three Tahoe’s will use Fleet Replacement Fund 674-1103 and the Traverse will use Fire Fund 001-0913.
