SUBJECT: Award Bid to Razzari Ford for the Purchase of Two (2) New Crew Cab Pickups with Service Bodies for a Cost of $61,982.40 each for the Parks and Streets Departments
REPORT IN BRIEF
Considers awarding the bid to Razzari Ford for the purchase of two new crew cab pickups with service bodies for the Parks Department and Streets Departments.
RECOMMENDATION
City Council - Adopt a motion:
A. Awarding the bid to Razzari Ford for the supply of two new crew cab pickups with service bodies, for a cost of $123,964.80; and,
B. Authorizing the City Manager or Deputy City Manager to execute the necessary documents; and,
C. Authorizing the Finance Officer to make the necessary budget adjustments; and,
D. Authorizing the City Buyer to issue the Purchase Order(s), and approval of change orders not to exceed 10% of the total purchase price.

AUTHORITY
Charter of the City of Merced, Article XI, Section 1111-Competitive bidding, and Merced Municipal Code (MMC) Chapter 3.04, Article III - the purchase of materials, supplies, equipment, and contractual services of an estimated value greater than thirty-seven thousand dollars ($37,000.00), the "contract threshold," shall be made by the purchasing supervisor by written contract with the lowest responsible bidder.

As provided for in the FY 23/24 Adopted Budget.
DISCUSSION
Staff prepared bid specifications for two pick-ups, and the invitation for bids was advertised both in the Merced County Times newspaper and the City’s website. Bids were publicly opened on September 5, 2023, at 2:00 p.m., with the following results:
• Razzari Ford (Merced, CA) $123,964.80
• Santos Ford (Los Banos, CA) $123,998.00
• Towne Ford (Redwood City, CA) $127,309.74
• American Chevrolet (Modesto, CA) $140,152.50
Bids were evaluated based on the following criteria: purchase price, delivery time, warranty, past performance.
Based on available funding, staff recommends awarding the bid for the purchase of two pickups for the total amount of $123,964.80 to Razzari Ford.
IMPACT ON CITY RESOURCES
The vehicles were approved in the FY 2023/24 adopted budget; no additional funding is needed. The vehicles will be purchased out of Fund 3001-Street and Light Maintenance and Fund 1000-General Fund, Park Maintenance Division.
